B2B Procure-to-Pay functionalities – Purchase Orders and webhooks

PO Dispatch | PO Status/Backorder | Webhooks to Third Parties

Updated over 8 months ago

After a sale is made and a purchase order is received, the goods are prepared for delivery. Tracking tools are used to monitor the shipment and ensure it arrives as planned.

PO Dispatch: When a purchase order (PO) is created, it needs to be sent to the supplier so they can fulfill the order. PO Dispatch is the process of delivering the PO to the supplier, typically via email, electronic data interchange (EDI), or another electronic method. It’s like sending a detailed shopping list to the supplier so they know exactly what to deliver.

PO Status/Backorder:

- PO Status: This is the tracking system that lets you know where your purchase order is in the process. It tells you if the order has been received, is being processed, shipped, or completed. It’s like checking the status of an online order to see if it’s on its way.

- Backorder: Sometimes, not all items in a purchase order can be fulfilled immediately because they are out of stock. A backorder means that these items will be delivered later when they become available. It’s like ordering something online that’s currently out of stock but promised to be shipped to you as soon as it’s back.

Webhooks to Third Parties: Webhooks are automated messages sent from one system to another when something specific happens, like a purchase order being dispatched. They allow different systems to stay updated in real-time without needing to check manually. For example, when a purchase order is dispatched, a webhook can trigger an event, instantly notify a third-party shipping company to start the delivery process. It’s like getting an automatic alert on your phone when a package is shipped.
